Our client, a respected and growing commercial general contractor, is seeking a highly organized Bid Coordinator to support its Preconstruction and Estimating team.

Position Overview

The Bid Coordinator will provide administrative and operational support throughout the bidding process by managing bid calendars, subcontractor communications, document control, and proposal preparation. This role plays a critical part in ensuring bids are organized, complete, and submitted accurately and on time.

Working closely with Estimators, Preconstruction leadership, subcontractors, and vendors, the Bid Coordinator helps maintain the efficiency and quality of the company's pursuit process.

Key Responsibilities

  • Coordinate bid schedules, deadlines, and preconstruction calendars.
  • Create and maintain bid folders, document libraries, solicitation logs, and addenda tracking.
  • Coordinate subcontractor outreach, follow-up communications, bid invitations, and scope coverage.
  • Maintain organized project drawings, specifications, addenda, RFIs, clarifications, and bid correspondence.
  • Support Estimators with bid tabulations, proposal formatting, qualifications, exhibits, and final submission packages.
  • Track subcontractor responses and maintain accurate bid coverage documentation.
  • Assist in maintaining subcontractor databases, trade partner information, and historical bid records.
  • Participate in post-bid reviews and maintain lessons learned documentation.
  • Ensure all bid documentation is accurate, organized, and submitted within required deadlines.

Qualifications

  • Minimum of 2 years of experience in construction administration, bid coordination, estimating support, project coordination, or a related construction role.
  • Strong organizational and time management skills with the ability to manage multiple deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Experience coordinating with subcontractors, vendors, consultants, or project teams.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Adobe Acrobat/PDF workflows.
  • Experience with Bluebeam, Procore, or other construction document management platforms is preferred.
  • Ability to read and organize construction drawings and specifications.
  • High attention to detail and strong problem-solving skills.
