About the Opportunity 
HV Talent Group is partnering with a leading healthcare organization in Boston, MA to identify an experienced Senior Executive Assistant to provide high-level administrative and executive support to the Chief Financial Officer (CFO) and designated senior Finance leaders. 

This is a highly visible role within the Finance organization. The ideal candidate will be a proactive, highly organized professional who can independently manage complex priorities, anticipate executive needs, and handle sensitive financial and organizational information with exceptional discretion. 

Key Responsibilities 
Executive & Strategic Support 

  • Serve as a trusted administrative partner to the CFO and designated Finance leaders. 
  • Manage complex calendars across multiple senior executives and competing priorities. 
  • Coordinate schedules around critical Finance deadlines, including financial close cycles, forecasting, audits, and Board reporting. 
  • Anticipate executive needs and independently resolve scheduling and logistical challenges. 
  • Prepare executives for meetings by coordinating agendas, briefing materials, financial reports, and follow-up actions.
Communication & Stakeholder Management 
  • Serve as a liaison between Finance leadership, executive leadership, Board members, auditors, investors, and external partners.
  • Draft, edit, and coordinate executive-level communications.
  • Handle confidential financial, operational, and organizational information with sound judgment and discretion.
  • Build strong working relationships with senior stakeholders across the organization. 
Board, Meeting & Governance Support 
  • Coordinate Finance leadership meetings, executive reviews, Board and committee meetings, including Finance and Audit Committees.
  • Support investor-related engagements and other high-level meetings.
  • Coordinate, consolidate, and distribute Board and committee materials while maintaining accuracy and version control.
  • Track action items and ensure timely follow-through.
  • Support audit, compliance, and regulatory activities through coordination of documentation, logistics, and deliverables. 
Operational & Administrative Leadership 
  • Coordinate executive travel arrangements with business priorities and cost efficiency in mind.
  • Support expense reporting and other administrative workflows.
  • Coordinate timelines and logistics for monthly and quarterly financial close, forecasting, annual budgeting, audits, and Board reporting.
  • Identify opportunities to improve executive support processes and workflows.
  • Provide guidance to other Executive Assistants supporting Finance leaders and promote consistent best practices. 
Special Projects & Finance Support
  • Support Finance-led and enterprise-wide initiatives, including strategic planning, budgeting, and operational improvement projects.
  • Conduct research and synthesize financial and operational information into executive-ready materials.
  • Assist with cross-functional initiatives involving Finance and other business units 
Change Management & Process Improvement 
  • Support Finance leadership during organizational changes, system implementations, and transformation initiatives.
  • Help maintain structure, communication, and coordination during periods of high operational demand.
  • Contribute to continuous improvement of executive support and Finance-related administrative processes. 
Qualifications 
  • 8+ years of Executive Assistant experience, including direct support of C-suite or senior executive leaders.
  • Experience supporting a CFO or Finance leadership team is strongly preferred.
  • Demonstrated ability to work independently with a high degree of judgment, discretion, and confidentiality.
  • Proven experience managing complex calendars and competing priorities for multiple senior stakeholders.
  • Experience supporting financial operations, Board processes, audits, or similar executive-level activities preferred.
  • Strong business and financial acumen with the ability to understand financial concepts and executive-level discussions.
  • Exceptional organizational, communication, and time-management skills.
  • Strong written and verbal communication skills are important.
  • Excellent stakeholder management and relationship-building abilities.
  • Strong problem-solving skills with a proactive, solution-oriented approach.
  • Ability to remain composed and effective in a fast-paced, high-pressure environment.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and enterprise collaboration tools.
  • Experience with financial systems, planning tools, or reporting platforms is a plus.

The successful candidate will be more than an administrative support professional. This individual will serve as a trusted partner to Finance leadership, demonstrating strong executive presence, anticipation, discretion, and business judgment.

You should be comfortable working with highly confidential information, interacting with senior executives and external stakeholders, managing multiple priorities simultaneously, and taking ownership without needing constant direction.
